We are looking for a proactive and organized Facilities and Operations Coordinator to manage the daily operations of our offices in Manila and Cebu. This role is essential in ensuring a well-maintained, efficient, and safe work environment, supporting our teams in their day-to-day activities. Responsibilities

Key Responsibilities:

  • Financial Oversight: Manage and reconcile financial records, including petty cash and company credit cards. Support the budgeting process and monitor financial activities.
  • Procurement and Inventory: Oversee procurement processes, including office supplies, pantry items, and celebratory needs. Maintain accurate inventory records.
  • Office Management: Address facilities-related concerns, ensure cleanliness and maintenance, and manage meeting room bookings. Coordination of office activities and events.
  • Communication and Support: Serve as the main point of contact for office-related inquiries, manage employee onboarding and offboarding, and disseminate internal announcements.
  • Business Continuity and Safety: Develop and implement business continuity plans and safety guidelines. Stay informed on potential risks and ensure the workplace is prepared.
  • Vendor and Supplier Management: Coordinate with vendors and suppliers, manage contracts, and ensure timely delivery of goods and services.
  • Travel Management: Assist with employee travel arrangements and provide support for travel-related needs.

Requirements

Qualifications:

  • Experience in facilities management, procurement, or office administration.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office management software and tools.
  • OSH, occupational safety and health standards, business certificates is a plus!
